Why general AI is not enough
General-purpose AI models like ChatGPT know a lot about the world but nothing about your company — your products, policies, customers, pricing, or procedures. When you need AI to answer questions based on your specific information, the model needs access to your documents.
There are three main approaches to giving AI your knowledge: including it in the prompt (simple but limited by context window), fine-tuning the model on your data (expensive and complex), or using RAG — Retrieval-Augmented Generation — which searches your documents and includes relevant excerpts in the prompt dynamically.
RAG has become the most common approach for business AI because it combines the general capabilities of large language models with access to your specific information, without the cost and complexity of custom model training.
How RAG works
RAG works in three steps. First, your documents are processed and stored in a searchable format using embeddings. Second, when a user asks a question, the system searches for the most relevant document sections. Third, the relevant sections are included in the prompt along with the user question, and the language model generates an answer grounded in your actual documents.
Embeddings are numerical representations of text that capture meaning rather than just keywords. The phrase "how to cancel my subscription" and "ending my recurring payment" have different words but similar meaning. Embeddings represent them as similar, enabling semantic search that finds relevant content even when exact keywords do not match.
The quality of a RAG system depends on the quality of the source documents, how well they are chunked and embedded, the relevance of the retrieved sections, and the model ability to synthesize the information into a useful answer. Poor source documents produce poor answers regardless of how sophisticated the technology is.
Business applications and evaluation
Common RAG applications include internal knowledge bases where employees can ask questions about company policies, customer support systems that answer questions from product documentation, sales enablement tools that retrieve relevant case studies and specifications, and compliance tools that search regulatory documents.
When evaluating a RAG solution, ask: What documents will it search? How are documents updated when content changes? How does it handle questions that are not covered by the documents? Can it cite the specific source of its answers? What happens when the source documents are ambiguous or contradictory?
The most important evaluation criterion is accuracy. A RAG system that gives wrong answers confidently is worse than no system at all, because users trust it. Establish a testing process with known questions and verified answers before deploying to users.

A software company built a RAG-powered internal assistant that searched their product documentation, release notes, and troubleshooting guides. Support agents could ask questions in natural language and receive answers with citations to the source documents. After deployment, average ticket resolution time decreased by 35%.
